Aesthetic clinics

How do we hold a booking with a deposit without losing the slot?

Eva checks real availability, holds the booking with a deposit, confirms and reschedules it, and schedules the follow-up your practice configures without making clinical decisions.

In an aesthetic clinic the slot is the inventory. A block that is held but unconfirmed cannot be offered to anyone else, and when the person does not show up that time is gone. So the process does not end when the appointment is created: it continues through the deposit, the day-before confirmation, the arrival grace period and the reschedule.

Eva is an AI agent with a built-in CRM that covers that stretch: it answers on your website, by email or on the chat app your clients use, asks which treatment they want and when they are free, offers times that exist, can request the deposit, confirms, and comes back for the next session. This page describes that for an aesthetic practice, and it stops where clinical judgment starts.

The problem

The daily problem

  • A held but unconfirmed slot blocks the calendar: while nobody replies, it cannot be offered to someone who does want to come in.
  • Moving each request into the calendar by hand — read it, check the room and the device, offer a time, enter it — competes with treating people.
  • Clients ask about price before an assessment exists, but the proposal comes out of the facial or body evaluation and out of what they accept.

A day with Eva

A day with Eva

Someone writes after seeing a post: how much is a filler treatment. Eva answers in seconds, asks for a name, the treatment they want and when they are available, and checks real availability by appointment type, duration and resource, so an occupied room is never offered. It answers with what your clinic published, and it says the part that stays true: the proposal and the final price come out of the assessment, not out of a message.

Once a time is picked, Eva can request the deposit that holds the slot. For Mexican operations it creates a SPEI bank-transfer payment link from your clinic's connected account and records the payment cycle on the opportunity. And if you would rather keep receiving a receipt in the thread, Eva takes the screenshot as context and hands the conversation over.

The day before, the schedule confirms itself. Eva writes, asks the client to confirm date, time and practitioner, and when they cannot make it, offers the open times and reschedules inside the same thread. Silence does not vanish either: the thread keeps its state so the front desk can decide what to do with that slot under your policy.

After that the relationship continues. Eva creates or updates the contact and the opportunity in the CRM and schedules whatever follow-up you configured: the post-treatment review, the next session in a package, or the reminder that it may be time to come back. Sequences allow up to five steps with delays of up to 180 days, and each one runs a full agent turn, so it can check the calendar, reschedule or decide that writing again is not the right move yet. The clinical interval is your practitioner's call. The moment a person on your team replies, Eva goes quiet.

Typical integration: The calendar lives in Eva and can sync with Google Calendar through OAuth, webhooks and a polling fallback. For your practice software, the agent's tools can call HTTP endpoints that system exposes — the balance left on a package, whether a membership is current — and what gets read or written is scoped during implementation. Clinical records and progress photography stay where they already live.

Questions

FAQ

Can Eva take the deposit that holds the appointment?

Yes. In Mexico, Eva creates SPEI bank-transfer payment links in pesos through your clinic's connected account and records the payment cycle next to the opportunity, with the confirmed payment visible to your team.

Will it tell someone whether they are a candidate?

No. Eva books the assessment and shares what your clinic published, but deciding whether someone is a candidate, with which product and at what dose is your practitioner's judgment. When a conversation reaches that point, Eva asks for a person on your team and hands over the thread with the context assembled.

Does it handle sessions, packages and memberships?

It answers from what you gave it. Eva uses your catalog and knowledge base to explain what a package includes and records progress on the CRM opportunity. The balance, the expiry and the sessions used live in your system; to read them in the moment, expose a live lookup and connect it as a tool.

What about before-and-after photos?

Eva receives them as context for your team — it processes images, audio and supported documents — but it is not the clinical record and does not pretend to be. Documenting care, retaining it and collecting consent stay with the clinic and its existing systems.

What if the client never answers the confirmation?

Eva keeps to the sequence you configured and leaves the state visible in the CRM. Outside a messaging channel's session window, delivery needs an approved template; without one the follow-up is parked or flagged instead of failing silently. Releasing the slot or writing the opportunity off is never a fixed automation: a person decides, or the agent does under the rules you set.
