Veterinary practices

How do we book visits and remind clients about boosters?

Eva asks the reason for the visit, checks real availability, books, reminds and follows up without making veterinary clinical judgments.

In a veterinary practice everything lands in the same thread, at any hour: a vaccination visit, a question about food, a photo of an ear, and something that may not be able to wait. On the other side there is usually one person at the front desk, who also takes payment, manages the schedule and sometimes steps into the exam room.

Eva is an AI agent with a built-in CRM that handles that first stretch: it answers, asks the reason for the visit, checks real availability, books, reminds and follows up. This page describes what that looks like in a veterinary practice, and it stops where clinical judgment starts.

Today

Hi, Max woke up with an irritated ear and will not stop scratching. Can you see him today?

09:47

Of course. General consult today: I have 12:30 or 17:00 with Dr. Rangel; the visit is 450 pesos. If you can, send me a photo of the ear so the doctor arrives with context.

12:30. Here goes the photo.

Done: 12:30 with Dr. Rangel, and the photo is already in Max's record. Here is the link if you want to leave the visit paid.

Payment received, see you at 12:30. I also see Max's booster is due this month: we can apply it in the same visit if you like.

The problem

The daily problem

  • Requests arrive mixed together and outside opening hours, and sorting out which is an appointment, which is a retail sale and which needs somebody right now eats the front desk.
  • Confirming tomorrow's schedule and chasing everyone who did not answer is a daily task, and an unconfirmed appointment leaves an empty slot another patient would have taken.
  • Post-operative checks and recheck visits get lost easily: when nobody writes to reschedule, the visit simply does not happen and the client is left feeling unaccompanied.

A day with Eva

A day with Eva

A client fills in the booking form at eleven at night asking for a vaccination visit this week. Eva answers in seconds, asks the reason for the visit, the species, the name and the approximate age, checks real availability — appointment type, duration, exam room and the veterinarian's own hours — and offers times that actually exist. When they pick one, Eva books it; events already living in Google Calendar block their slot through Free/Busy.

If what the client describes sounds like it cannot wait, Eva does not handle it alone. It does not triage, it does not interpret signs and it does not diagnose: it asks for a person on your team and hands over the thread with what the client said, the photo they sent and the patient details already gathered. Images, audio and documents come in as context for your team; reading them is the veterinarian's job.

The counter question gets answered too. When a client asks about the food they always buy, Eva searches your catalog, pulls the verified product record and answers using only the fields you marked visible. What is not loaded does not get invented: when a value is missing, Eva says so and escalates rather than improvising a price.

After that the relationship does not go cold. Eva creates or updates the contact and the opportunity, schedules follow-up and comes back on its own, with sequences of up to five steps where each delay can reach 180 days — so an annual booster reminder is built by chaining steps, not with a single one. When a visit needs a deposit, Eva can create a SPEI bank-transfer payment link in Mexico and issue the CFDI tax invoice once the tax profile is complete. The moment a person on your team replies in the thread, Eva goes quiet.

Come back for the booster and the recheck

Eva leaves the opportunity in the CRM and returns weeks or months later, with sequences of up to five steps and delays of up to 180 days each, without anyone having to remember.

Typical integration: The calendar lives in Eva and can sync with Google Calendar through OAuth, webhooks and a polling fallback. The retail catalog arrives as a file or through an API. For your practice software, the agent's tools can call HTTP endpoints that system exposes; what gets read and what gets written is scoped during implementation rather than promised beforehand.

Questions

FAQ

Does Eva actually book, or does it just take a message?

It books. Eva checks availability against time zone, resource hours and busy events, offers times and schedules the visit, including recurring ones. If you sync Google Calendar, events already there block their slot automatically through Free/Busy.

Can it say whether it is an emergency, or diagnose from a photo?

No, and it should not. Eva does not triage and does not interpret signs, radiographs or photos: it takes them as context for your team. When a conversation needs professional judgment, Eva asks for a person on your team and hands over the thread with the context already assembled, rather than opining on a patient nobody has examined.

Will it quote visit and retail prices?

The ones you published. For products, Eva answers from your catalog with the verified record and only the visible fields; for services, with whatever you loaded. And it says the part that stays true: diagnostics, medication and additional procedures are quoted after the examination, because they depend on the findings.

Will it remember the booster a year later?

Yes. Follow-up sequences allow up to five steps and each delay can reach 180 days, so an annual reminder is built by chaining steps. Outside a messaging channel's session window, delivery needs an approved template; when there is none, the follow-up is parked or flagged for intervention instead of failing silently.

Does it replace my practice software?

No. Eva sits on the conversation side: scheduling, messages, contacts and opportunities. The medical record, the patient history, prescriptions, inventory and the register stay in your system. What Eva can read or write from it depends on that system's endpoints, authentication and contract.
