How do we price a school-supply list that arrives as a photo?

Eva takes the list or file, searches each item in your catalog, answers with what you loaded and leaves the conversation in the CRM with follow-up scheduled.

A school-supply list never arrives as an order. It arrives as a photo of a sheet, a PDF from the school or a message typed by hand. Somebody has to read it line by line, say what is there and what is not, and give a total. Meanwhile the copy, print and binding jobs keep coming in, along with the customer who needs one pen.

Eva is an AI sales agent with a built-in CRM that takes the first stretch of that work: it takes the list or the file on your website, by email, on Instagram, on Messenger or on WhatsApp, searches your catalog, answers with what you loaded, and leaves the thread in the CRM with follow-up scheduled. This page describes that for a neighborhood stationer, a copy shop or a supplier to offices and schools.

The problem

The daily problem

  • Every list is different. It changes by level, by grade, by teacher and by school, and the one the customer brings is the only one that matters, whatever a suggested list says.
  • A supply package is more than a sum: it carries the student, the school, the grade, the class, substitutions, labeling, covering and a preparation status, and that disappears if it lives in a notebook.
  • A print job carries its own data: the file, the size, black-and-white or color, how many copies, the finish and the pickup time, and confirming each ties up the counter.

A day with Eva

A day with Eva

A parent sends a photo of a third-grade list at eleven at night and asks what the whole thing costs. Eva answers in seconds, takes the image as context and asks what is missing to build the order: the student's name, the school, the grade and the class, and whether they want the package labeled and covered. None of that stays in somebody's head: it goes into the CRM.

Eva then searches your catalog item by item, pulls the verified record and answers using only the fields you marked visible. The price it gives is the price you loaded. What is not in the catalog does not get invented: when a line has no match, Eva says so, asks for a person on your team and hands over the thread with the list already captured, so your people decide the substitution.

A while later another message arrives with a PDF: twenty copies, letter size, black-and-white, bound. Eva takes the file as context and confirms whatever you defined for that service; the work is your team's, and the thread keeps its state.

The relationship does not go cold once the season passes either. Eva creates or updates the contact and the opportunity, schedules follow-up and comes back on its own, with sequences of up to five steps and delays of up to 180 days, enough to write again before the next cycle. When the customer says yes, Eva can create a SPEI bank-transfer payment link in Mexico and issue the CFDI tax invoice once the tax profile is complete. The moment a person on your team replies in the thread, Eva goes quiet.

Eva takes the list as a photo, a PDF or text, asks for student, school, grade and class, searches each item in your catalog and answers with what is loaded, flagging what it could not find.

Restocking for offices and schools

Eva leaves the opportunity in the CRM, follows up for days or months without anyone remembering, and in Mexico creates the SPEI payment link and issues the CFDI when the tax profile is complete.

Typical integration: Your assortment arrives as a file or through an API, and your service policies live in the knowledge base. The agent's tools can call HTTP endpoints in your point of sale or inventory system to check stock or price, when that system exposes them. What gets connected is decided during implementation rather than promised beforehand.

We configure everything for you.

Questions

FAQ

Can Eva read the list if it comes as a photo?

Yes, as context. Eva processes images, audio and supported documents, so a photo of the list, the school's PDF or a voice note all land in the same thread. What it answers afterwards comes from your catalog rather than from the image: every line is searched and verified, and what it cannot find it says.

Does it know what I have in stock?

It knows what your catalog says. Sources connected through an API sync every 24 hours and file sources refresh when you upload them again; if an update fails, Eva keeps serving the last good version. For minute-by-minute stock, expose a live lookup from your system and connect it as a tool.

Does it replace my point of sale?

No. Eva sits on the conversation side: messages, contacts, opportunities and follow-up. The register, the daily close, the barcodes and the price labels stay in your counter system. What Eva can read or write from it depends on that system's endpoints, authentication and contract.

Will it publish prices or wholesale minimums?

Only yours. We publish no supply prices and no minimum order for the trade because neither exists as a single figure: they move with brand, presentation, city, store and each supplier's conditions. Eva answers with what you loaded and with the conditions you publish.

Does it handle invoicing?

In Mexico, Eva issues and stores CFDI tax invoices through Facturapi for eligible charges, triggered by the confirmed payment and keeping the PDF and XML. It requires a complete tax profile and valid configuration; when the tax data is incomplete the invoice stays pending instead of going out wrong.
