How do we answer admissions inquiries and book tours without swamping the office?

Eva answers with what your school published, checks real availability, books the tour and follows up through the admissions process.

Admissions inquiries do not arrive during office hours. They arrive on Sunday night, in the middle of drop-off, or while somebody is walking a group to class: what does it cost, which documents are required, is there a place in that grade, when can we see the campus. On the other side there is usually one person in admissions, who is also looking after the families already enrolled.

Eva is an AI agent with a built-in CRM that handles that first stretch: it answers with what your school published, checks real availability, books the tour and follows up through the whole process. This page describes what that looks like in a private school, and it stops where your team's judgment starts.

The problem

The daily problem

  • Family messages arrive at any hour and across several channels at once, and answering them competes with everything else admissions does.
  • The process has many stages — inquiry, tour, application, documents, assessment, decision, agreement and payment — and every family is standing on a different one.
  • Re-enrollment is decided months before the year starts, and reminding each family before their deadline is manual work nobody has time for.

A day with Eva

A day with Eva

A parent writes at eleven at night asking whether there is a place in first grade and what it costs. Eva answers in seconds with what your school published — levels, requirements, fee concepts with the breakdown you loaded — and asks what it needs to help: grade, school year and which school they are coming from. What you did not load does not get invented: when a value is missing, Eva says so and asks for a person on your team.

When the family wants to see the campus, Eva checks real availability — appointment type, duration, who receives them and during which hours — and offers dates that actually exist. When they pick one, Eva books it; events already living in Google Calendar block their slot through Free/Busy. The next day it sends the reminder by message or email, asks them to confirm and, if they cannot come, reschedules inside the same thread.

The paperwork arrives in the same thread. Eva processes images, audio and supported documents as context and leaves them in the conversation for your team. What it does not do is decide: the applicant's file, the assessment, the admission decision and the agreement stay in your school system and in your people's hands. Eva prepares the conversation; it admits nobody.

And afterwards it does not go cold. Eva creates or updates the contact and the opportunity, schedules follow-up and comes back on its own, with sequences of up to five steps and delays of up to 180 days — enough to accompany a family from the first inquiry to the start of the year, and to remind an enrolled family about re-enrollment. The moment a person on your team replies in the thread, Eva goes quiet.

Follow through to enrollment and re-enrollment

Eva leaves the opportunity in the CRM and returns weeks or months later, with sequences of up to five steps and delays of up to 180 days, without anyone having to remember.

Typical integration: The calendar lives in Eva and can sync with Google Calendar through OAuth, webhooks and a polling fallback. Your fees, requirements and academic calendar live in the knowledge base. For your school management system or your payment portal, the agent's tools can call HTTP endpoints those systems expose; what gets read and what gets written is scoped during implementation rather than promised beforehand.

We configure everything for you.

Questions

FAQ

Does Eva book the tour, or does it just take a message?

It books. Eva checks availability against time zone, resource hours and busy events, offers dates and schedules the visit. If you sync Google Calendar, events already there block their slot automatically through Free/Busy.

Will it quote enrollment fees and tuition?

The ones you published, with the breakdown you loaded: concepts, number of installments, payment calendar, discounts and late charges. Eva uses only the fields you marked visible and does not fill in what is missing; when a value is not loaded, it says so and escalates to a person on your team.

Does it decide admission or assess the applicant?

No, and it should not. Eva takes documents and information as context and prepares the conversation, but the applicant file, the assessment, the decision and the agreement belong to your team and your school system. When a conversation needs judgment, Eva asks for a person and hands over the thread with the context already assembled.

Does it collect tuition and issue the invoice?

Not as a replacement for your system. Eva can create a SPEI bank-transfer payment link in Mexican pesos, and that is the whole of its billing capability today: it does not create card payments and it does not run recurring charges. Statements, periodic collection and tuition invoicing with the tax complement that applies stay in the system your school already uses.

Will it keep writing to families?

Yes. Sequences allow up to five steps and each delay can reach 180 days. Outside a messaging channel's session window, delivery needs an approved template; when there is none, the follow-up is parked or flagged for intervention instead of failing silently. And the moment a person on your team replies, Eva goes quiet.
