Booking appointments
How do appointments get booked without somebody juggling the calendar?
Eva reads real availability before offering anything, books the slot in your company calendar and schedules the reminder.
Booking by message stalls in the back and forth: somebody asks about Thursday, a person opens the calendar, replies that the slot is gone, offers another one, and by the time the customer answers that one is taken too. Nobody made a mistake and the appointment was still lost.
Eva is an AI sales agent with a built-in CRM. It reads real availability before offering anything, books the slot in your company's calendar and schedules the reminder — on your website widget, over email, on Instagram, on Messenger, on WhatsApp or through the API. Here is how it works and what it needs connected.

Before and after
Today
The message arrives while somebody is with a customer. It gets answered an hour later with two slots recalled from memory, one already taken and the other one impossible for the buyer. The appointment ends up in a notebook or in the chat thread, and whoever opens tomorrow does not know it exists.
With Eva
The same message gets slots that are genuinely free, because Eva read them from the calendar before offering them. When the customer picks one, Eva books the event, records the contact and schedules the reminder by chat or by email.
How it works
- 1. Eva checks availability before promising
Eva reads the calendar of the resource that serves that appointment — the person, the room, the unit — with its time zone, its working hours and whatever is already busy. It offers slots that exist instead of offering first and apologizing after.
- 2. It books and leaves a record
When the customer picks a time, Eva creates the event with its appointment type and resource, and creates or updates the contact in the CRM. If the agent has a pipeline linked, the booking is recorded as an opportunity with its activity, not just as a loose calendar event.
- 3. It reminds, reschedules and asks for help
Eva schedules the reminder by chat or by email and can come back to reschedule. When the case stops being a booking — an emergency, a special condition, a negotiation — Eva asks for human assistance and notifies whoever you configured.

What Eva needs
- Your calendars loaded into Eva with their resources, appointment types, working hours and time zone; if your schedule lives in Google Calendar, the OAuth connection.
- A connected channel: WhatsApp Business and, if you want them, Instagram, Messenger, calls, email, your website widget or the API.
- Your rules written down: which details to collect before booking, how long each appointment type runs, what may be rescheduled, and when the conversation goes to a person.
- A pipeline linked to the agent if you want the booking recorded as a CRM opportunity.
Good to know
- Availability is exactly what the connected calendar knows: it respects the time zone, the resource's working hours and busy events. A slot given away by phone and never written down does not exist for Eva.
- Google Calendar is the only documented sync, and it depends on OAuth, webhooks and a polling fallback. Any other scheduling system connects as a custom integration against whatever it exposes.
- Google Calendar events block time through Free/Busy: Eva sees that the block is taken, not what it is about or who it is with.
- The documented reminder channels are WhatsApp and email. Outside the WhatsApp conversation window an approved template is required; without one the message is parked, skipped or waits for a person.
- When somebody on your team takes over the conversation, Eva stops writing until control is handed back, and pending follow-ups freeze meanwhile.
- Without a pipeline linked to the agent you get the contact and the event, but not the opportunity: opportunity management is enabled per agent.
