Automated follow-up

How does follow-up happen without somebody remembering to do it?

Eva holds the open item and, when it is due, checks the conversation's real state and decides what to do.

Follow-up is the work everybody agrees on and almost nobody does. Not out of laziness: whoever quoted on Tuesday is serving customers on Thursday, and the thread that ended in «let me think about it» sinks under twenty newer ones. The quote was not lost on price. It was lost to silence.

Eva is an AI sales agent with a built-in CRM. It holds that open item and comes back when it is due — and when it does, it does not fire a saved line: it runs a full agent turn, checks where everything actually stands and decides what to do. Here is how it works and what it needs to work.

Before and after

Today

Follow-up lives in the head of whoever handled the chat. It happens when there is a gap and gets dropped when there is work, and three months later nobody knows whether that buyer was contacted again or contacted twice on the same day.

With Eva

Every open conversation carries its scheduled follow-up. When it comes due, Eva reviews the real state — what was quoted, what the buyer replied, what changed in the CRM — and decides: write, reschedule, update the opportunity, ask for a person, or send nothing at all.

How it works

  1. 1. You decide when Eva comes back

You can leave an inactivity sequence that starts when a conversation goes cold, or a one-off follow-up with a specific goal for a given date. The sequence supports up to five steps, and each delay can run as long as a hundred and eighty days.

  2. 2. When it is due, Eva runs a full turn

It is not a stored message going out. Eva uses its tools, checks the catalog or the knowledge base if needed, looks at where the opportunity landed and decides from there. It can reschedule itself when the moment is wrong.

  3. 3. Whatever it decides is recorded

Whether it writes or not, the outcome shows in the CRM: the opportunity is updated, the follow-up is rescheduled, or the conversation is escalated to the person you configured, with the matching notification.

What Eva needs

  • A connected channel: WhatsApp Business and, if you want them, Instagram, Messenger, calls, email, your website widget or the API.
  • Approved WhatsApp templates if you want follow-up to be able to go out beyond the conversation window.
  • The sequence written down: how many steps, how long each one waits, and what Eva is coming back for at each one.
  • Your escalation rules and, if follow-up should move opportunities, a pipeline linked to the agent.

Good to know

  • An inactivity sequence supports up to five steps, and each delay can be as long as a hundred and eighty days. A one-off follow-up supports delays from five minutes to a hundred and eighty days. Outside those ranges there are no further steps.
  • Outside the WhatsApp conversation window an approved template is required; without one the message is parked, skipped or waits for a person, depending on the state.
  • Outside the window, Messenger and Instagram skip delivery and leave a visible event: there is no compatible route for reopening the conversation on those channels.
  • A due follow-up does not guarantee a message. Eva runs the turn and may decide that the right move is to stay quiet, and that is recorded too.
  • Marking an opportunity as lost is never a fixed automation: the agent or a person decides it.
  • The follow-up cadence is exactly the one you define in the sequence.
  • When somebody on your team takes over the conversation, Eva goes silent and pending work freezes until control is handed back.
  • Opportunity management is enabled per agent and needs a linked pipeline; without one, follow-up still runs but moves nothing in the CRM.
