Gyms and studios

How do we answer prospects and book intro classes without tying up the desk?

Eva answers with what you published, checks real availability, books the intro session, sends reminders and follows up with every prospect.

Questions do not arrive during front-desk hours. They arrive at eleven at night, while somebody is coaching a class or racking plates: what does it cost, what is included, when is the next class, is there room. Every one of them needs an answer, and the person answering is usually the same person coaching, collecting dues and opening the door.

Eva is an AI agent with a built-in CRM that handles that first stretch: it answers with what you published, checks real availability, books the intro session, reminds and follows up. This page describes what that looks like in a gym, a box or a boutique studio.

The problem

The daily problem

  • A prospect who was already interested cools off while waiting, and the answer often arrives hours later because nobody was free to write it.
  • In capacity-limited classes, booking, cancellation and attendance are separate states, and tracking them by hand leaves spots empty that somebody else would have taken.
  • Asking for the renewal face to face is awkward when it comes from the same person who coaches them every day.

A day with Eva

A day with Eva

Somebody fills in the website form at eleven at night asking what it costs and when the next class runs. Eva answers in seconds with what you published — plans, schedules, what each one includes — and asks what it needs to be genuinely useful: their goal, which days work, whether they have trained before. What you did not load does not get invented: when a value is missing, Eva says so and asks for a person on your team.

When they want to try it, Eva checks real availability — session type, duration, coach and hours — and offers times that actually exist. When they pick one, Eva books it; events already living in Google Calendar block their slot through Free/Busy, so an occupied spot is never offered. It can also schedule the recurring sessions of somebody already training with you.

The next day starts confirmed. Eva sends the reminder by message or email, asks them to confirm day and time, and when they cannot make it, offers other times and reschedules inside the same thread. Silence does not disappear either: the thread keeps its state so somebody can pick it up knowing exactly where it stood.

After that Eva handles coming back. It creates or updates the contact and the opportunity, schedules follow-up and returns on its own, with sequences of up to five steps and delays of up to 180 days — enough to write to somebody who stopped showing up months ago. Each follow-up runs a full agent turn, so it can check the calendar, update the CRM, reschedule or decide that writing again is not the right move yet. The moment a person on your team replies in the thread, Eva goes quiet.

Typical integration: The calendar lives in Eva and can sync with Google Calendar through OAuth, webhooks and a polling fallback. Your plans, schedules and rules live in the knowledge base. For your membership system, the agent's tools can call HTTP endpoints that system exposes; what gets read and what gets written is scoped during implementation rather than promised beforehand.

Questions

FAQ

Does Eva actually book, or does it just take a message?

It books. Eva checks availability against time zone, resource hours and busy events, offers times and schedules the session, including recurring ones. If you sync Google Calendar, events already there block their slot automatically through Free/Busy.

Can it charge dues to a card or set up autopay?

No. Eva can create a SPEI bank-transfer payment link in Mexican pesos, and that is the whole of its billing capability today: it does not create card payments and it does not set up recurring dues. The recurring charge, the consent and the renewal notice stay in your billing system and your agreement.

Does it open the door or clear the turnstile?

No. Eva sits on the conversation side: messages, scheduling, contacts and opportunities. The turnstile, the fingerprint reader, the face recognition and the membership status that authorizes entry stay in your access system. What Eva can read or write from it depends on that system's endpoints, authentication and contract.

Will it keep pestering my members?

Yes. Sequences allow up to five steps and each delay can reach 180 days. Outside a messaging channel's session window, delivery needs an approved template; when there is none, the follow-up is parked or flagged for intervention instead of failing silently. And the moment a person on your team replies, Eva goes quiet.

Does it answer with my prices?

With yours and nothing else. Eva answers with the plans, offers and schedules you loaded, using only the fields you marked visible. If something is not loaded — an offer that already expired, a plan you are still building — it does not fill the gap: it says so and escalates to a person on your team.
