How do we answer a product list with price and stock the same day?

Eva asks what is missing, searches your catalog item by item, verifies each record before quoting and leaves the conversation in the CRM with follow-up scheduled.

A distributor does not get a question, it gets a list. «I need these fourteen items, what is your price and what do you have?». Answering it properly means checking pack size, stock on hand, volume, destination and terms, which is why the list has to reach whoever holds the price list. What should take five minutes ends up taking days.

Eva is an AI sales agent with a built-in CRM that takes that first stretch: it asks what is missing, searches your catalog item by item, verifies the record before quoting, and leaves the thread in the CRM with follow-up scheduled. This page describes that for a wholesale distributor.

The problem

The daily problem

  • One shift carries picking, routes, collections and invoicing at once, so answering a price request competes with everything else and depends on who is free.
  • There is no single price. It moves with pack size, volume, customer and destination, so a bare number helps nobody and has to be corrected later.
  • Quotation, sales order and purchase order are distinct states, and blurring them costs a mis-picked shipment or an invoice that does not match what was delivered.

A day with Eva

A day with Eva

A buyer sends a list of fourteen items at ten at night through the web form, by email or on the chat app they already use. Eva answers in seconds and asks exactly what is missing to quote: pack size, quantity per item and destination, in the vocabulary your team already uses. If the buyer sends a photo of a label or a carton, Eva matches that image against your catalog images and proposes candidates with a confidence level.

With the full list, Eva searches item by item, returns up to 25 candidates per search, pulls the verified product record and answers using only the fields you marked visible. What is not loaded does not get invented: when a value is missing, when verification is incomplete, or when price depends on the account and the volume, Eva says so, asks for a person on your team and hands the thread over with the context already assembled.

It also keeps the state of the deal honest. A quotation is not a confirmed order, and Eva says exactly that: the order is confirmed through your process — quotation acceptance, a purchase order or payment, depending on how you work — not because someone said yes in a thread. Meanwhile the contact and the opportunity sit in the CRM with the detail of what was quoted.

After that the thread does not go cold. Eva schedules follow-up and comes back on its own, with sequences of up to five steps and delays of up to 180 days, and each follow-up runs a full agent turn. When the customer says yes, Eva can create a SPEI bank-transfer payment link for Mexican operations and issue and store the CFDI tax invoice once the tax profile is complete. The moment a person on your team replies, Eva goes quiet.

Typical integration: The catalog arrives as a file or through an API, and API sources sync every 24 hours. The agent's tools can call HTTP endpoints in your ERP or back-office system to check stock by warehouse, customer-specific pricing or order status; what gets connected, and under which contract, is decided during implementation rather than promised beforehand.

Questions

FAQ

Can it quote a whole list, or just one item?

A list. Eva searches item by item in the catalog you loaded, returns up to 25 candidates per search and pulls the verified record before answering, using only the fields you marked visible. What it cannot find or verify, it says, instead of filling the gap.

Does it handle customer-specific or volume pricing?

It answers from what is loaded and marked visible. If your price depends on the account, the volume or the destination, the honest move is to expose that lookup from your system and connect it as a tool; until that exists, Eva does not invent a price break — it says so and escalates to a person on your team.

Does Eva confirm an order?

Not on its own. Eva leaves the opportunity and the quoted detail in the CRM, but confirmation follows your process: quotation acceptance, a purchase order or payment, depending on how you work with that customer. The agent's answer keeps those states apart rather than treating a «yes» in a thread as a firm order.

Does it reconcile my routes or my inventory?

No. Eva sits on the conversation side: the control of what a route loaded, sold, returned and closed with stays in your system. What it can do is check stock when that value is exposed through an API and connected as a tool, so it does not quote something you no longer have.

Does it collect payment and invoice?

It can. In Mexico, Eva creates SPEI bank-transfer payment links in pesos from a connected account, and issues and stores CFDI tax invoices through Facturapi for eligible charges, triggered by the confirmed payment and keeping the PDF and XML. It requires a complete tax profile; when the tax data is incomplete the invoice stays pending instead of going out wrong.
