Eye care

How do we answer «am I a candidate?» without guessing?

Eva books the assessment, confirms the appointment and holds the recall; deciding whether someone is a candidate for surgery belongs to the ophthalmologist.

The two questions an eye care practice gets most cannot be answered in a message: whether the person is a candidate for surgery and what it will cost. Both depend on an exam with measurements — corneal topography and refraction for refractive surgery, history, biometry and a dilated retinal exam for cataract — and that exam belongs to the ophthalmologist, not to a reply.

Eva is an AI agent with a built-in CRM that handles the part that can be handled: it answers on your website, by email or on the chat app your patients use, asks what is needed to book, tells a new patient apart from a follow-up, schedules against real availability, confirms, prepares the visit and holds the recall. This page describes that for an eye care practice.

Today

Good afternoon, I want a cataract surgery evaluation for my mother.

16:40

Gladly. The evaluation takes 40 minutes, costs 700 pesos and includes the diagnostic tests. I have Thursday 12:00 or Friday 10:00 with Dr. Salas. Which works for you?

16:40

Friday. Can I pay right now?

16:41

Done: Friday 10:00 with Dr. Salas. Here is the payment link, and the day before I will send her reminder with the instructions.

The problem

The daily problem

  • Moving each request into the calendar by hand — read it, scan the openings, offer a time, enter it — competes with the exam happening right now.
  • Late cancellations and no-shows take the slot from someone who wanted it, and that hour does not get refilled the same day.
  • Recall has no single interval: it changes with the condition, the findings and clinical judgment, and tracking it patient by patient does not scale.

A day with Eva

A day with Eva

Someone writes at midnight asking what it costs to stop wearing glasses. Eva answers in seconds and asks what it can ask: what is going on, whether they already wear a correction, whether they have prior test results, which location suits them and when they can come in. And it says plainly what a message cannot settle: candidacy is determined at the exam, with the tests the ophthalmologist orders.

From there Eva checks real availability — appointment type, duration and resource — and books the exam, keeping new patients and follow-ups apart. On price it answers with what your practice published: the exam fee, the tests, what a package includes. What is not loaded does not get invented: Eva says so and escalates to a person on your team. When the person writing is an adult child booking for a parent, Eva collects the details of whoever is being seen, following what you configured.

The visit arrives prepared. Eva sends the reminder by message or email, asks the patient to confirm date, time and clinician, and shares the pre-visit instructions you loaded — for instance whether to bring someone along when the exam involves dilation. If the patient cannot make it, Eva offers the open times and reschedules inside the same thread, without anyone opening the system.

After that the relationship holds. Eva creates or updates the contact and the opportunity in the CRM and schedules whatever follow-up you configured: the post-operative check, the next session of a repeating treatment, or the periodic exam for a patient with diabetes. Sequences allow up to five steps with delays of up to 180 days, and each one runs a full agent turn. The interval is your ophthalmologist's call; Eva respects the cadence you gave it. The moment a person on your team replies, Eva goes quiet.

Typical integration: The calendar lives in Eva and can sync with Google Calendar through OAuth, webhooks and a polling fallback. For your records or practice system, the agent's tools can call HTTP endpoints that system exposes; what gets read, what gets written and under which contract is scoped during implementation. Test results, images and the patient record stay where they already live.

Questions

FAQ

Can Eva tell someone whether they are a surgical candidate?

No, and it should not. Candidacy is determined at the exam, with the tests the ophthalmologist orders. Eva books that exam, explains what it includes based on what you loaded, and when the conversation needs clinical judgment it asks for a person on your team and hands over the thread with the context assembled.

Does it tell a new patient apart from a follow-up?

Yes, if you set your calendar up that way. Eva checks availability by appointment type, duration and resource, respects time zone and busy events, and can book recurring visits. The contact and the opportunity live in the CRM, so a follow-up does not arrive as though it were a brand new patient.

Can it read an OCT, a topography or a visual field?

It receives them, it does not interpret them. Eva processes images and supported documents as context for your team, but reading them belongs to the specialist. It also does not connect to your diagnostic devices on its own: for Eva to look up a result, that value has to be exposed by your system as an endpoint and connected as a tool.

Do we have to replace our records or practice system?

No. Eva sits on the conversation side: scheduling, messages, contacts and opportunities. Clinical notes, test results, orders and consent forms stay in your system. What Eva can read or write depends on that system's endpoints, authentication and contract.

Will it remember recall visits months later?

Yes. Sequences allow up to five steps and each delay can reach 180 days, and each follow-up runs a full agent turn, so it can check the calendar, reschedule or decide that writing again is not the right move yet. Outside a messaging channel's session window, delivery needs an approved template; without one the follow-up is parked or flagged instead of failing silently.
